What you’ll do:
Based at our global headquarters in Adelaide, the Corporate Secretariat Paralegal/Administrator role is a lynch pin supporting Corporate Secretariat team in the delivery of key governance activities for an ASX top 20 organisation. 

Operating in a structured and fast paced environment, this role delivers outstanding administrative support activities to enable smooth coordination, running and delivery of Corporate Secretariat governance activities across the Santos Group. 

The role requires excellent attention to detail with the ability to manage competing and tight deadlines, to deliver key activities, including:
  • Assist in managing the operations of Santos Group subsidiary companies.
  • Support the preparation and delivery of Board and Executive Committee meetings, including drafting agendas, coordinating the submission of draft and final papers, and managing meeting logistics (venue, catering, etc.).
  • Distribute Board and Executive Committee materials via the Diligent platform.
  • Help manage the Board and Committee calendars as needed.
  • Provide email and diary management, travel coordination, and general administrative support for the Corporate Secretariat team.
  • Maintain accurate corporate records, both electronic and physical, including company registers.
  • Oversee licence management for software used by the Corporate Secretariat team with external vendors.
  • Liaise with internal and external stakeholders, including external agents, regarding meeting arrangements, document execution, governance requirements, and invoicing.
  • Assist the Corporate Secretariat team with budget tracking and internal reporting.
  • Support the planning and execution of Santos' quarterly, half-year, annual reporting, and Annual General Meeting.
  • Assist in verifying external reports by managing the Atticus verification software.
  • Identify and implement process improvements within the Corporate Secretariat function.
  • Prepare and lodge forms with government agencies such as the Australian Securities and Investments Commission (ASIC) and other regulators.
  • Perform general administrative tasks, including processing expenses and invoices, and reviewing them against fee estimates and internal reports.
  • We are seeking an individual with 5 plus years’ experience in a paralegal, executive or administrative assistant role or equivalent, ideally having worked in a legal or corporate secretariat team.
